MP Police Goes Fully Digital for Leave Approval, eHRMS Rollout Covers Over One Lakh Personnel

Madhya Pradesh Police has introduced a fully online leave management system for its personnel, replacing the conventional manual process with a digital platform. The new eHRMS e-Leave Module came into effect across the state on July 1, covering more than one lakh police officers and employees.

According to the Police Headquarters, the initiative aims to make leave management faster, more transparent and time-bound. Police personnel can now apply for leave online, track the status of their applications and receive approvals through a single digital platform.

The system has been introduced on the directions of Director General of Police Kailash Makwana. It has been rolled out in all police units across the state after successful pilot implementation and technical refinements. The e-Leave Module is part of the broader Electronic Human Resource Management System (eHRMS) being implemented by Madhya Pradesh Police to digitise service records and personnel management.

According to Police Headquarters, the onboarding process began in July 2025 with the digitisation of service records. More than one lakh service books have since been scanned through the Madhya Pradesh State Electronics Development Corporation (MPSEDC). Nearly one lakh police officers and employees have also been onboarded onto the eHRMS platform. The department had earlier launched the Order Book (OB) Module on March 23, 2026. The module digitally stores important service-related orders, making them readily available on the eHRMS portal while improving record preservation and accessibility.

Before its statewide rollout, the e-Leave Module was tested in selected police establishments, including the State Crime Records Bureau (SCRB), the Personnel Branch, the Special Branch, the Superintendent of Police (Rail), Bhopal, and the 25th Battalion, Bhopal. The system was refined after incorporating feedback received during the pilot phase. Police personnel can now submit leave applications through the eHRMS portal or the eHRMS mobile application, available on both Android and iOS platforms. The portal already contains details of leave categories, eligibility and leave balance for different cadres.

Once an application is submitted, it will be processed digitally. The leave clerk will forward it online to the competent authority. Recommendations and approvals will also be issued online. Employees will be able to monitor the status of their applications through their individual login.

According to Police Headquarters, the digital workflow is expected to reduce paperwork, improve efficiency and bring greater transparency to leave administration across the department. Officials said the e-Leave Module is currently being used by only a few departments in the Madhya Pradesh government. Among them, the Police Department has emerged as the largest user, with nearly 1,01,928 officers and employees now connected to the system.
